Scope

This policy applies to personal data processed through the Kogi SUBEB website, public forms, recruitment portal, newsletter, support centre, live chat and administrative security systems. It does not govern an external website merely because we link to it.

Information collected

We collect information you provide directly, including name, contact details, requests, correspondence and application documents. We also process limited technical data needed to secure and operate the service, such as IP address, browser information, timestamps, session identifiers and audit events.

How information is used

  • deliver public services and respond to enquiries;
  • process complaints, FOI and data-rights requests;
  • administer recruitment and official communications;
  • protect accounts, investigate abuse and maintain reliable systems;
  • produce service statistics and improve website performance where analytics consent has been given.

Lawful basis

Depending on the activity, processing is based on legal obligation, public interest or official authority, contract, legitimate interest, protection of vital interests, or consent. Withdrawing consent does not affect earlier lawful processing and does not prevent processing required on another lawful basis.

Disclosure

Data may be shared with authorised government units, regulators, law-enforcement bodies, professional advisers or contracted service providers where necessary and lawful. Providers must be subject to appropriate confidentiality, security and data-processing obligations.

Your choices and rights

You can unsubscribe from newsletters, choose whether optional analytics is enabled, and submit a Data Rights Request. Rights may be limited where an exemption or official records duty applies.

Children's information

Because Kogi SUBEB's mandate concerns education, some official functions may involve children's records. Website forms should be completed by an authorised adult or officer unless a service clearly states otherwise. Children's data receives heightened protection and is processed only for an authorised purpose.
